How we handle your personal information
This policy covers the personal information this website collects, what it's used for, and the choices you have about it. For how we handle your data once you're a client, see our confidentiality & data handling policy.

Who we are
This site is operated by The Virtual Dept. For any question about this policy or your personal information, contact hello@thevirtualdept.com.
What we collect, and why
We only collect personal information you choose to give us, through the forms on this site:
- Contact form — name, work email, company, role, your message and an optional phone number, so we can reply to your enquiry and prepare for a strategy call.
- Free resources (the Founder's Delegation Checklist and the Investor-Ready Data Room Checklist) — your email address, so we can send you the resource.
- Leadership Time Audit — your quiz answers and, if you ask for the full breakdown, your email address, so we can send it to you.
- WorkWell newsletter — your email address, so we can send you the newsletter, which you can unsubscribe from at any time.
We don't use cookies or tracking scripts on this site beyond what's strictly needed to make it function. If that changes — for example, if we add analytics to understand how visitors use the site — we'll update this policy to reflect it.
How submissions are processed
Form submissions on this site are processed by Formspree, a third-party form backend provider, which delivers them to us by email and stores a copy in our account. Formspree is based in the United States and processes data under its own privacy and security practices; we only use it to receive and act on the submissions above.
Booking a strategy call takes you to Google Calendar's own booking page, which is governed by Google's privacy policy rather than this one.
How long we keep it
We keep enquiry and sign-up information for as long as it's relevant to our relationship with you — for example, while you're considering working with us, or for as long as you stay subscribed to the newsletter. You can ask us to delete it at any time.
Your rights
Under UK data protection law, you can ask us to confirm what personal information we hold about you, correct it, delete it, or stop using it for a particular purpose, and you can ask for a copy of it in a portable format. To exercise any of these, email hello@thevirtualdept.com. If you're not satisfied with our response, you can complain to the UK Information Commissioner's Office (ico.org.uk).
Changes to this policy
We'll update this page if what we collect or how we use it changes, and update the date above when we do.
